We are currently recruiting a Human Resources Administrator, based at our Head Office in Sandhurst, to support the Strategic Change Team to deliver a Shared Services Human Resource function that supports the Group’s overall strategic aims and objectives. As an integral part of the Operations team, you will provide guidance and support to managers and employees across the full range of HR work.

In addition, you will collate, prepare and submit monthly payroll data and undertake a range of associated administrative tasks including recruitment, employee security and vetting.

ROLE DETAILS

Shift pattern: 40 Hours, Monday – Friday
Package: £22,000 - £25,000 Depending upon experience

HUMAN RESOURCES ADMINISTRATION

• Develop and maintain administrative systems and procedures to provide support for HR activity and projects which shall include arranging meetings, collating and circulating information, preparing statistical reports, entering data on IT systems and following up action points
• To collate, prepare & submit accurate and timely monthly payroll and pension data to our payroll provider
• Ensure payroll department are notified of changes to staff terms and conditions and act upon management instructions and staff requests in a timely manner
• Calculate and maintain annual leave entitlements for employees including TOIL
• Organise resources for new employees that will include IT/ telephone equipment and email / system access
• Coordinate and participate in the induction of new employees for the business

ONLINE DATABASE SYSTEM (CITATION)

• Ensure staff records, including records of qualifications and certification are maintained in a compliant manner in line with data protection guidelines

RECRUITMENT

• Coordinate recruitment campaigns which will include arranging job adverts; coordinating the candidate screening process as appropriate; conducting first line interviews; processing reference requests; preparing offer letters and employment contracts; notifying unsuccessful candidates and managing the centralised recruitment email accounts

CONTRACT MOBILISATION

• Coordinate the TUPE process for transferring staff in relation to the mobilisation of new contracts
• Participate in and coordinate employee induction & on-boarding programme

SECURITY & VETTING

• Administer employee and contractor security clearances (DBS) for the business
• Act as a point of contact for all employees and contractors for security enquiries

HUMAN RESOURCES CHANGE & TRANSITION INITIATIVES

• To understand and support the aims and objectives of HR Department and to ensure these are reflected in the delivery of the role
• Contribute to the identification of Departmental objectives for the short, medium and long term in developing and implementing the company’s Strategic Plan
• In conjunction with Business, contribute to the ongoing development of HR related policies and procedures. Responsible for updating the Employee Handbook accordingly
• Develop and maintain appropriate systems and procedures as required

JOB PURPOSE

• To deliver effective and efficient day to day service to customers when processing telephone calls and emails to the Freidman Facilities Team.
• To provide excellent customer service to our external Client stakeholders and internal business colleagues.
• To manage the CAFM system and undertake compliance related tasks as and when required, respond swiftly to customer requests, queries, complaints & escalations as required.
• To work as part of the Service Desk Team, developing policies and procedures as necessary.
Communication
• Answer high volumes of Client e -mails and telephone calls within the agreed target timeframe
• Take ownership of requests through to completion including any progress chasing and liaison with all stakeholders
• Handle requests across both the telephony and email channels, ensuring a quality, responsive service
• Ensure all stakeholders are regularly communicated to on progress of tasks from start through to completion
• Ensure all enquiries and complaints are escalated and communicated to Service Desk Manager as appropriate

CAFM SYSTEM (JOBLOGIC)

• Process all requests via the CAFM system software ensuring a full and documented audit trail
• Work closely with Sub-Contractors, Engineers and Facilities Team to enhance the service delivery
• Maintain CAFM system reports and contract files
• Prepare cost estimates and customer quotations
• Collate and report on statistical information to assist the Account Management team

HEALTH, SAFETY AND COMPLIANCE

• Escalate any Health & Safety issues as per processes
• Ensure that Contractor RAMS and risk assessments are in place and are reviewed regularly

GENERAL OFFICE ADMINISTRATIVE DUTIES

• Maintaining holiday rota for the engineering staff
• Recording and monitoring sickness and absence records
• Ordering office stationery supplies
• Coordinating Company fleet records (servicing & maintenance etc.)
• Processing staff expense claims

Due to our rapid expansion, we are currently looking for a Cleaning Operative to carry out a range of cleaning activities in a two storey office in Letchworth Garden City.

Duties include but are not limited to - mopping, sweeping, vacuuming, dusting, emptying bins and general cleaning as essential to meet the needs of the business.

Hours: Part time, 10 hrs per week. Monday - Friday: 17.15 - 19.15 initially, however site hours will be changing to 18.00 - 20.00.

You will also be required to:

• Maintain Health and Safety standards at all times.
• Ensure equipment is cleaned, maintained and stored correctly

Air Conditioning Engineer

Air Conditioning Engineer

We are looking for a qualified and experienced Air Conditioning Engineer to join our Mobile Building Services team. Reporting to our Building Services Manager, you will provide scheduled visits to our FM client portfolio of sites under the planned preventative maintenance routine and breakdown assistance to carry out specialist reactive maintenance tasks to air conditioning installations. You will also be required to support other members of your team when required. You must be flexible to participate in multi-site on call out of hours roster for all sites.

The successful candidate will be a time served electrical technician and will have at least 7 years’ experience in the building services industry. We are looking for a qualified electrician to join our Mobile Building Services team.
Reporting to our Building Services Manager, you will provide maintenance to commercial electrical plant, equipment and distribution systems including HVAC, controls systems and commercial kitchen equipment.

Duties will include carrying out scheduled planned maintenance, service and reactive breakdown repair to the building's assets and services. These may include; general electrical and building services installations, kitchen white goods maintenance, air conditioning electrical supplies and controls, decontamination equipment, general distribution systems, external lighting. You will also be required to support other members of the Mobile Building Services team when required. The successful candidate will be a time served electrical technician and will have at least 7 years’ experience in the building services industry.
